Completing and closing a session

Eventually, you will run your laboratory session. You might be able to proceed with the following steps just in time when the participants arrive at the lab door, or you complete these steps later. It is essential to fill in the participation information, as this will be used in the reputation system for the no-show count of subjects, and will also be available as eligibility criteria for other experiments.

To enter participation information, click the Signed-up subjects link of your session and complete the form fields in each row.

The list will contain a column for Participation status. Participation states can be configured and customized in Options/Participation states. The default states are Not set (default, no participation information entered yet), Participated (participated in the experiment), No-show (did not show up), and Turned-away (showed up, but wasn't used and dismissed with a show-up fee), which correspond to the respective states in older ORSEE versions. Other participation states can be added, for example self-canceled, or participated/late-show.

If the payment module is enabled (in Options/General settings), then there may be up to three further columns that need to be filled in:

  • Budget: if there is more than one budget defined at for this session (see sections Creating sessions and Creating an experiment above), then you will have to choose to which budget the payment to this subjects will be charged. Budgets can be added/edited in Options/Budgets.
  • Payment type: if there is more than one payment type defined at for this session (see sections Creating sessions and Creating an experiment above), then you will have to choose of which type the payment to this subject will be. Payment types can be added/edited in Options/Payment types.
  • Pay Amount: Enter here the amount paid to the subject.

For any of the form settings above, you may use the checkboxes and the form below the participant list to “bulk-complete” the list, i.e. to set the same form value for all selected participants.

After you have completed the list you can “close” the session. In order to do so, go to the Edit page of the session (from the experiment main page) and change the session status to either Completed or Balanced.

Note: Once you have set the session status to Completed or Balanced, this session will be included in the next calculation of the subject's participation history (see Reputation system). Based on their participation status, subjects now may receive no-show warning emails or may even be excluded from the subject pool. So make sure that you completed the participation data before “closing” as session (otherwise, the empty participation list will be processed).

Note for Payment Module: Once you have set the session status to Balanced'', the payments in this session will be included in budget reports.
